What is an eVisa, and what does it mean for employers?
An eVisa is a digital record of a person’s immigration status in the UK. As immigration status has moved towards digital records, employers need an organised way to manage relevant employee information and important dates.
For employers, visa status, expiry dates, right to work information and sponsored worker records can form part of the wider compliance picture. Managing these across spreadsheets, folders and separate systems can make important information harder to track.
RootHR helps bring relevant information together within the employee record. With eVisa Monitoring, HR teams can keep key immigration dates visible, identify records that need attention and organise related information in one place.
That shift changes what you have to keep. Visa type, expiry date, the BRP number and its expiry, and whether an extension is in progress all still matter for sponsor record-keeping but they now sit in a digital record that can move without anyone telling you. And those dates don’t move together: visa, passport, BRP, contract and CoS each run on their own clock, and each one is a separate chance to be caught out.
Root HR keeps all of it against the employee record, shows every worker as valid, expiring soon or expired, and calculates the extension deadline 28 days before expiry with milestone email digests, and one expired alert rather than the same reminder arriving every morning.

See what happens when an expiry date needs attention
RootHR helps your HR team identify approaching and expired records, so the right information is visible when it needs to be reviewed.

Before: approaching expiry
The employee record is flagged as approaching an important immigration date, giving HR time to review the visa information, supporting documents and any required next steps.

After: a clear overdue list
Expired visa records can be brought together in an overdue view, making it easier for HR to see which employee records require attention.

eVisa Monitoring - Frequently asked questions
What is eVisa Monitoring?
eVisa Monitoring is a feature within RootHR’s HR software that helps employers organise employee immigration information, track important visa dates and identify records that need attention.
Is eVisa Monitoring separate software?
No. eVisa Monitoring is a feature of RootHR’s HR software and forms part of its wider UKVI and employee compliance functionality.
Why should employers track visa expiry dates?
Monitoring important expiry dates helps HR teams identify records that need review and plan appropriate follow-up as part of their internal compliance process.
Can RootHR be used for sponsored workers?
Yes. RootHR can help employers organise immigration information for sponsored workers alongside wider employee, right to work and sponsor compliance records.
Does RootHR replace the official right to work check?
No. RootHR supports HR record-keeping and compliance workflows. Employers must still complete the appropriate right to work check using the required Home Office process.
Can I keep immigration documents in RootHR?
Yes. Relevant employee and immigration documents can be kept with the employee record, helping HR teams maintain organised records.
Does RootHR automatically renew a visa?
No. RootHR helps monitor dates and organise reminders and records. It does not replace the employee’s or employer’s responsibility to complete any required immigration application or process.
How does the 28-day reminder work?
Where configured, RootHR can calculate an internal reminder 28 days before the recorded expiry date to help HR teams plan a review. This is a RootHR workflow reminder, not a statement of a universal UKVI deadline.
